Position Summary: The Student Activities Assistant supports the Athletic Director in the day-to-day operations of the athletic program. It also assists food service, district buildings, and initiatives, as well as student activities. In a small district, this role is hands-on and requires strong organization, flexibility, and the ability to manage multiple responsibilities independently.
General Summary: This position requires an individual with a high level of secretarial and interpersonal skills and an excellent grasp of computer skills. This person must be motivated and able to work with minimal supervision.
Work Environment: School office and athletic facilities, with occasional evening, weekend, and summer hours. Requires flexibility and teamwork in a small-school setting. This is a non-union position, salary based on experience. 205-day position -summer hours as needed
- Event Coordination: Schedule and communicate with game workers (officials, scorekeepers, ticket takers, etc.), ensure coverage for all home events, and assist with last-minute staffing needs.
- Game Day Operations: Prepare materials (tickets, rosters, passes), confirm schedules and facility readiness, and coordinate with coaches, custodial staff, and visiting schools.
- Financial Management: Track athletic revenues and expenses, process purchase orders and payments, reconcile ticket sales, and maintain accurate financial records.
- Post-Event Duties: Verify payments, document event details or issues, and update records and results.
- Seasonal Support: Assist with awards, recognition events, and maintaining student-athlete participation records.
- Administrative Support: Maintain schedules, eligibility lists, and athletic records; assist with student registrations and compliance requirements; respond to inquiries from students, parents, and community members; support basic communications (website, announcements, etc.).
- Food Service Support: Work with the food service department using Meal Magic; assist with free and reduced lunch applications and related documentation.
- Additional Duties: Cover lunches and assist in school offices as needed; support depositing, issuing checks, and maintaining student activity accounts
- High school diploma required; additional experience preferred
- Strong organizational and communication skills
- Ability to manage multiple tasks independently
- Basic technology proficiency (Google Workspace, Microsoft Office)
